Getting Started
What is a dedicated assistant?
Our dedicated assistants are legal operations specialists who go through a rigorous vetting process and integrate directly into your firm's workflows to handle administrative and operational tasks.
How long does it take to get started?
Implementation typically takes at least 2 weeks from the time you sign your contract. This includes onboarding, training, and integration with your systems.
What is the next step after I sign my contract?
After signing your contract, we schedule a Pre-Go-Live call with your Client Success Manager. This call covers your firm's workflows, tools, preferences, and any specific training requirements.
How long is the commitment?
Our standard agreement is a one-year contract, with the option to cancel at any time with 30 days' notice.
Do I need to choose between dedicated assistants and per-task services?
Not at all! Most firms benefit from a strategic combination of both. We diagnose your firm's specific operational gaps and recommend the right mix to solve them.

What type of experience do the dedicated assistants have?
Dedicated assistants are vetted based on the specific role requirements. Most come from strong customer service backgrounds with experience in legal or professional services.
Can I select the schedule that the dedicated assistant works?
Yes. Dedicated assistants are flexible and can work the schedule that fits your firm's needs.
How do you match me with a VA?
After your Pre-Go-Live call, our team uses what they've learned about your firm's workflows and operational needs to match you with the best-fit dedicated assistant.
How do they sound? What is their accent like?
All dedicated assistants are vetted for minimal accent and strong command of the English language. We also offer the Krisp accent-suppression tool for $55 per month.
What administrative tasks can dedicated assistants handle?
Case file organization, medical records and billing support, intake follow-up, client communications, deadline tracking, reporting, and more.
What happens if my dedicated assistant doesn't work out?
We have a transition protocol in place to quickly address the situation and expedite a replacement at no additional cost.
What happens if they're out sick?
Dedicated assistants accrue up to 10 days of PTO per year. We work with your firm to minimize disruption during any time off.
Operations & Security
How is client and firm data secured?
Attorney Assistant uses enterprise-grade security through Black Talon Security, including endpoint protection and vulnerability monitoring. All dedicated assistants are HIPAA certified. Optional VPN access is available.
How will dedicated assistants be monitored?
We use Time Doctor to track work hours, capture screenshots, and record activity videos. This ensures transparency and accountability.
Who is responsible for training?
We provide initial training to prepare your dedicated assistant for legal operations. We also recommend having relevant documents and SOPs ready on their first day for firm-specific training.
Who trains and manages day-to-day?
Dedicated assistants are supported by a dedicated IA Success Manager who helps with onboarding, ongoing performance, and communication between your firm and the assistant.
Do dedicated assistants use our phone system or CRM?
A VoIP phone system is required for phone-based roles. CRM usage is determined by the client — we integrate with whatever systems you use.
What are the Golden Hours?
Golden Hours are 5-9 PM and weekends when answer and conversion rates are highest. Our intake service provides 24/7 intake and reception support to capture every lead.
